The Planning Process   Planning an expedition of this size is not something you can do overnight, the planning process will actually take 18 months.

The planning team itself consists of 10 Project Managers, a Business Manager, a Director of Planning, the Expedition Leader, a Logistics Manager and a Medical Advisor. (15 Persons in all).

We meet approximately every 6 weeks with a formal agenda and minutes, copies of which will be supplied below as and when appropriate.

Our Meeting Schedule
Each of the Planning Meetings are held at Reasheath Agricultural College, Nantwich, Cheshire, England, and they usually last from 10.00hrs to 17:00hrs. We take a break for lunch

Meeting opened at 1230

The meeting opened with a review of the Project Manager?s induction weekend held in January and confirmation of Judith as Logistics Manager for the expedition. The agenda moved to a round of individual updates since we last met, with a number of people making offers of skills and knowledge they are prepared to share with this team as we go through the planning process.

The forthcoming first aid training weekend was discussed along with other events scheduled for 1999 namely recruitment, introduction weekend, planning meetings, PM?s development weekend and the recce visit to Guyana in June. The production of the members handbook was put in motion with various sections delegated out.

Incorporated into the meeting were two 1 hour training sessions. The first consisted of a dialogue about individual and group behaviours and how Project Managers might manage their groups in the expedition environment. The second introduced concepts of risk assessment and how to manage safety on expedition and was followed by the group brainstorming different types of risks and what can be done to mitigate them before during and following the expedition.

General actions for the next meeting were recruit, bring ideas for forming groups and logging learning, notify Mark of any questions for recce and take a look at PXR?s and other resources available for information about Guyana and other expeditions.

26th June 1999 - Planning Meeting 2

We started the day by looking at the last minutes discussing the best way to keep absent members of the Planning Team up-to-date.

Following that we discussed the Project Manager's Development Weekend which was confirmed to have been a killer (erm I mean a challenge) and everybody gained knowledge and confidence in areas such as risk assessment, reviewing and assessment of skills.

Then we turned to the handbook, Clare gave everyone a section to complete before the end of July.

We went through a Gantt Chart which provided an overall schedule of events, which we needed to bear in mind and we touched on the preparation of the Post eXpedition Report (PXR).

After the hard work was all done we had a small celebration for Judith's birthday (including birthday cake!)

8th August 1999 - Planning Meeting 3

John Follin reports

With the first real get together of the expedition coming up in the form of the Welcome Weekend, the planning team spent the first two hours of the meeting finalising plans for the format for the weekend. To facilitate this, Dig, Mark and John had held a pre-meeting on the Saturday to brainstorm content and structure for ratification at the meeting proper. This seemed to work well, allowing the Sunday session to be used for people to be assigned tasks and establish the detail for their individual sessions.

The afternoon focused primarily on the need for recruitment.

The meeting was brought to a close with a presentation by Mark Surtees on his recent recce trip. A highly motivating note, upon which to end, a thoroughly useful day

16th October 1999 - Planning Meeting 4

Judith Vockings reports

The first item to be discussed was the Welcome Weekend held on 4th-5th September 1999. All the feedback received was positive. We then discussed the 'get-together' arranged for 5th and 6th February 2000. This will allow existing and new expedition members the opportunity to meet up and learn more about the expedition. A series of outdoor activities such as cycling and walking, will be available-participation purely voluntary of course.

Following a quick break for coffee we moved on to consider a number of proposed project destinations which could well involve a variety of project types and allow the project groups to experience the different modes of Guyanese transport-including feet!

A useful brainstorming sesseion followed focusing on the content of the Project Managers' manual. Progress was made and the initial compilation of ideas was assembled into a working tool. It is intended that Project Managers will be able to use this document for; planning the expedition, an aide-memoire out in the field, as well as, a source of reference on their return to the UK.

9th January 2000 - Planning Meeting 5

Sam Woodvine reports

The first meeting of the new millennium went with a swing, with most of the team in attendance.

We had a creative review of 1999, and everyone left the meeting with tasks to follow up for the next meeting.

Project locations were allocated to each Project Manager on a fantastic high!

Everyone left with tremendous enthusiasm about the events ahead!

The Reviewing sessions produced some great visual outputs, using methods taught us by Roger Greenway. They probably will mean more to us than others but they are here for your viewing.
